Digitized services in facility management - everyone is talking about it, STRABAG PFS is using it. Electronic support is already part of our everyday lives: from robotic vacuum cleaners to Spot the robot dog, which makes its rounds on the construction site - the future is making its presence felt in the form of machines. But there are also other robots without a fixed "shape".

STRABAG Property and Facility Services (STRABAG PFS) is now using a tailor-made RPA solution for a major customer, in which software robots take over routine data transfer tasks.

Don't know what RPA means? RPA stands for "Robotic Process Automation" and describes more or less what we expect computers to do - but in a customized format of automated routine activities in cross-application data processing.

In facility management in particular, many standardized and frequently repeated administrative activities occur at the interface to the customer, for example the processing of incoming requests and tickets in a CAFM system. If customers work with their own CAFM system, processing is even more time-consuming than with the company's own system. There is then a lot to do in the STRABAG PFS order acceptance department: order data has to be retrieved from the external systems and transferred to the in-house system, status changes are reported back to the customer system, etc.

This is not only (routine) work, but unfortunately also a potential source of error and a cost risk that should not be underestimated when processed manually. In addition to the correctness of the data, it is also crucial that the data exchange takes place in compliance with contractually defined deadlines and times. If errors occur here, it can be expensive and unpleasant for both sides.

Minimize errors with RPA

Reason enough to minimize this source of danger. A solution was found in cooperation with the STRABAG Innovation & Digitalization SID department. The task: automating the relevant routine processes using software robots. An RPA solution has now been successfully introduced at a major customer with around 500 locations nationwide and several data centers, which reliably processes a large amount of cross-application data automatically.

The jointly implemented software solution has been in use since the beginning of July 2021, making daily work easier, saving an immense amount of time and helping to coordinate the individual teams and their tasks. The previously manual processes (data collection and evaluation, data transfer between the IT systems between the customer and service provider) are now carried out by time-controlled software robots.

Human Friendly Automation

STRABAG PFS is already working on further Human Friendly Automation projects, streamlining and standardizing order processing with the help of digital tools. There is huge potential in the establishment of low-code apps, digital workflow optimization or RPA, which is also repeatedly confirmed by market research companies.
